This privacy policy explains how Recruit4Work ("we", "us") collects, uses, and protects personal data through our recruitment platform (the "ATS"), including our public career site, candidate portal, and recruiter tools.

1. Who we are

2. What data we collect

  • Candidates: name, contact details, CV, work experience, skills, salary expectations, and any other information you submit through an application form or provide to a recruiter.
  • Website visitors leaving a message via a recruiter's profile card: name, email, phone number, and (if you choose to leave a voice message) an audio recording.
  • Recruit4Work staff: name, contact details, and account activity within the ATS.

3. Why we process this data

We process candidate data to evaluate applications, match candidates with vacancies, and communicate about the recruitment process. We process staff data to operate the platform. Processing is based on your consent (e.g. submitting an application), the steps necessary to enter into a contract, or our legitimate interest in operating a recruitment business.

4. Google Calendar integration

Recruit4Work staff may optionally connect their own Google account to the ATS. If connected, the ATS uses the Google Calendar API only to create a calendar event on that staff member's own calendar when they schedule a candidate interview inside the ATS. We do not read, modify, or delete any other events in a connected calendar, and we do not share Google Calendar data with any third party. A staff member can disconnect this integration at any time from their profile page, which immediately revokes the ATS's access.

5. Third-party processors

We use the following processors to operate the platform:

  • Supabase — database, authentication, and file storage.
  • Brevo — sending transactional emails (confirmations, invitations).
  • Vercel — application hosting.
  • Google — optional calendar sync, as described above.

6. Data retention

We retain candidate data for as long as reasonably necessary for recruitment purposes, or until you request deletion. Candidates can request a copy or deletion of their data at any time by contacting us.

7. Your rights

Depending on your location, you may have the right to access, correct, or delete your personal data, object to certain processing, or request a copy of your data in a portable format. To exercise any of these rights, contact us at the address above.

8. Cookies

We use only strictly necessary cookies to keep you logged in securely. We do not use advertising or tracking cookies. To understand how our career site is used, we keep anonymous visit statistics (pages visited, time on page, approximate location at city level, device type and how you found us). This works without cookies and without storing anything on your device; we do not store IP addresses and cannot identify you from these statistics.
